Privacy Policy
At KS DIGITAL VENTURES PTY LTD, we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and safeguard your information when you use our web applications, including SyncBits, and the WorkDii mobile app for iOS and Android.
1. Who We Are and What This Policy Covers
This policy covers the SyncBits website and back office and the WorkDii mobile app. WorkDii is used by employees of businesses that use our service. Accounts are created when your employer invites you; you cannot sign up on your own.
Your employer decides what workforce data (rosters, timesheets, leave, availability) is collected and why, and is responsible for that data. We process it on your employer's behalf to run the service. For your account and sign-in data, we are the controller.
2. Information We Collect
- Account data: your name, preferred name, your email address and phone number, each of which you can verify with a one-time code, your roles, employment start and end dates, and the locations you are assigned to.
- Work records: your shifts, timesheets (clock-in and clock-out times, breaks, and whether you were inside your workplace's clock-in radius), an optional comment you can add when clocking out, leave requests and any remarks you add, and your availability.
- Location: the app reads your precise location only while the app is in use: when you clock in or out, and while the location view on the Clock screen is open. It is sent to us only when you clock in or clock out, never when you start or end a break, and it is never read in the background. We use it to check the clock-in radius your employer has set. Being outside that radius does not stop you clocking in; the result is recorded for your employer. You can deny or withdraw the permission in your device settings.
- Profile photo (optional): if you choose one from your photo library, it is uploaded to our storage and shown on your profile. The app does not use your camera.
- Notifications and push identifiers: work notifications addressed to you are stored on our servers so you can read them in the app. To deliver push notifications we use OneSignal, which holds your device's push token. We link it to your account with an identifier made of your organization and user ids.
- Technical data: our servers automatically record your IP address and access times.
- Stored only on your device: your sign-in tokens and session details are kept in your device's secure storage and are cleared when you sign out. If you turn on Face ID or fingerprint unlock, it is handled entirely by your device's operating system; we never receive your biometric data. The app also reads your device model and operating system to show on its own diagnostics screen; these are not sent to us.
3. How We Use Your Information
- Run the service and manage your account.
- Let your employer verify attendance and manage rosters, timesheets, and leave.
- Send you work notifications.
- Keep accounts and our infrastructure secure and prevent misuse.
We do not show advertising, we do not sell your personal information, and we do not track you across other companies' apps or websites.
4. Sharing Your Information
- Your employer: the organization that invited you can see your work records and account details.
- Service providers: OneSignal (push notifications), Google Maps (map display in the app, which means Google receives your device's IP address when a map loads), and Amazon Web Services (hosting and file storage).
- By law or to protect rights: if we believe disclosure is necessary to respond to legal process, or to protect the rights, property, and safety of others.
5. Retention
We keep your account data while your account is active. When you delete your account in the app, your access ends immediately, and 30 days after your request we erase your email address, phone number, profile photo, password, and push notification identifier. Your name stays with your employer's records. Work records that your employer must keep by law, such as timesheets, rosters, and leave, and the payroll and tax details it holds (for example a tax file number or bank account), are retained for the period your employer is legally required to keep them.
6. Security
We use administrative, technical, and physical security measures to help protect your personal information. Data is encrypted in transit using TLS and at rest, and the app keeps your sign-in tokens in your device's secure storage. However, no security measure is perfect, and no method of transmission can be guaranteed against interception or misuse.
7. Your Rights & Choices
Under the Australian Privacy Principles (APPs) and applicable international laws such as the GDPR, you have the right to access, correct, or delete your personal data held by us, and to ask for an export of it. To make a request, contact us at support@syncbits.me. You can delete your WorkDii account yourself in the app (Profile, then Delete account), or follow the steps on our account deletion page. You can also contact your employer about the data they control.
8. Children
Our services are not intended for anyone under 18, and we do not knowingly collect personal information from them.
9. Changes to This Policy
We may update this policy from time to time. The date at the top shows when it was last changed.
